One Less Step Between "Hired" and "Onboarded"
Automatically trigger employee profile creation in your HRIS system as soon as a submission moves into a workflow stage you choose.
You can now trigger employee profile creation in your connected HRIS system directly from a workflow stage — the same way the existing “Sync to ATS” automation works today. This means a candidate can be pushed into your HRIS the moment their submission reaches a specific stage in your hiring workflow, without anyone having to open the candidate profile and start that process manually.
This is especially useful for late-stage workflow steps like “Hired” or “Onboarding,” where you want an employee record created automatically as soon as a candidate reaches that point.
How it Works
When a submission moves into a workflow stage that has the “Create Employee Profile in HRIS” automation attached, Leadline automatically opens the same “Create Employee in ” modal you already use today when creating an HRIS profile manually. From there, the normal employee-creation flow continues as expected.
How to Set It Up
- Open the Workflows page (via the Admin Hub or the Workflows tab).
- Edit an existing workflow or create a new one.
- Go to the Automations tab within the workflow editor.
- Select the workflow stage you want to configure.
- From the automations dropdown, choose “Create Employee Profile in HRIS.”
- Click Save. Any submission moved into that stage going forward will automatically trigger the HRIS profile-creation modal.
A few important limitations to keep in mind:
- One HRIS automation per stage. A single workflow stage can only have one “Create Employee Profile in HRIS” automation attached.
- HRIS or ATS, not both — for now. A workflow can include a “Sync to ATS” automation or a “Create Employee Profile in HRIS” automation, but not both at the same time. Support for combining them is not yet available.
- Bulk actions are limited to one submission at a time. If a workflow stage has this automation attached, you can only move one submission into that stage via bulk actions at a time — this ensures the HRIS modal opens correctly for each candidate. Support for triggering this automation on multiple submissions at once is coming in a future release.
Frequently Asked Questions
Can I use both “Sync to ATS” and “Create Employee Profile in HRIS” in the same workflow?
Not yet. A workflow currently supports one or the other, not both. We're evaluating support for combining them in a future update.
What happens if I try to bulk-move more than one submission into a stage with this automation attached?
Bulk actions into that stage are limited to one submission at a time so the “Create Employee in ” modal can open correctly for each candidate. Move submissions into the stage one at a time to trigger the automation for each.
Does this replace creating an HRIS profile manually from the candidate profile?
No — you can still create an HRIS profile manually at any time. This automation simply gives you a way to trigger that same flow automatically based on workflow stage, rather than requiring a manual step.
Which HRIS systems does this support?
Any HRIS integration you already have connected to Leadline. The automation uses your existing HRIS connection, the same one used for manual employee profile creation today.
