# Prompt Guide - Create Positions

## Everything you need to know to use Rover to Create Positions

Rover can create a new position in Leadline from a single prompt, so you can open a new role without filling out the position form manually. This guide covers what details to include and how to word your prompts so Rover builds the position correctly the first time.

New to writing prompts? Check out our [Prompt Starter Kit](https://docs.getleadline.com/prompt-starter-kit-) document for best practices on writing prompts for Rover.

### Before you Start: What Rover Needs:

The more details you include in your prompt, the fewer follow-up questions Rover will need to ask.

| Detail type | What to include |
| --- | --- |
| **Required** | Position title, location, Workflow and Brand (if your account uses multiple Brands) |
| **Recommended** | Employment type, work arrangement, pay range and pay frequency, job description or key responsibilities |

**Employment type** can be full-time, part-time, seasonal, or contract. **Work arrangement** can be on-site, hybrid, or remote.

Tip: Use the exact location and Brand names shown in Leadline. Rover doesn’t know which location you mean by “the Florida office” or “our downtown hotel”—provide the specific name, such as “Naples Beachfront Resort,” instead.

##### Quick prompt

Use this when you want something fast and are happy to let Rover ask follow-up questions for anything missing.

> Create a \[employment type\] \[position title\] position at our \[location\] location.

**Example**

> Create a full-time Front Desk Supervisor position at our Naples Beachfront Resort location.

##### Detailed prompt (recommended)

Use this for the best first result with the fewest follow-up questions. Copy it and fill in the brackets.

> Create a new position with the following details:
>
> - Title: \[Position title\]
> - Brand: \[Brand name\]
> - Location: \[Location name\]
> - Department: \[Department\]
> - Employment type: \[Full-time / Part-time / Seasonal / Contract\]
> - Work arrangement: \[On-site / Hybrid / Remote\]
> - Pay: \[$min – $max\] \[per hour / per year\]
> - Hiring manager: \[Name\]
> - Recruiter: \[Name\]
>
> Write a job description based on these key responsibilities:
>
> - \[Responsibility 1\]
> - \[Responsibility 2\]
> - \[Responsibility 3\]
>
> Keep the description under \[number\] words and use a \[friendly / professional\] tone. Save it as a draft.

##### Filled-in example

> Create a new position with the following details:
>
> - Title: Assistant Project Manager
> - Brand: Coastal Builders Group
> - Location: Tampa Headquarters
> - Department: Commercial Construction
> - Employment type: Full-time
> - Work arrangement: On-site
> - Pay: $75,000 – $90,000 per year
> - Hiring manager: Jane Smith
> - Recruiter: Marcus Lee
>
> Write a job description based on these key responsibilities:
>
> - Support project managers with scheduling, budgets, and subcontractor coordination
> - Track submittals, RFIs, and change orders
> - Conduct regular site visits and report on project progress
>
> Keep the description under 300 words and use a professional tone. Save it as a draft.

### Using Documents as Guidance

You can upload documents in the chat for Rover to follow when creating a position. Use them in one of two ways:

1. **Rules for Rover to follow:** A document that defines your writing standards, formatting requirements, required fields, or other guidelines.
2. **An example position:** A completed position Rover can use as a layout or structure reference.

Example rules might include:

- "Job descriptions should be no less than 3 sentences and no more than 7."
- "Use a professional but approachable tone."
- "Always include responsibilities, qualifications, schedule, and pay range when available."

**Example prompt**

> Create a new \[position title\] position using the uploaded document as \[rules to follow / an example template\]. Follow the document's guidance for structure, tone, required sections, and description length. If any required details are missing, ask me before creating the position.

**Filled-in example**

> Create a new 3rd Grade Teacher position using the uploaded document as an example template. Follow the document's guidance for structure, tone, required sections, and description length. If any required details are missing, ask me before creating the position.

**Tip:** If your team uses the same rules for every position, add them in the Admin Hub so Rover applies them automatically. A document about adding context for Rover is Coming Soon.

### Building a position from a public URL

Rover can build a position in Leadline using a job posting from a public URL. This is a quick way to bring an existing job posting into Leadline, such as one from your careers page or a job board, without retyping the details.

How to do it:

1. Copy the link to a publicly accessible job posting. The page must be viewable without logging in.
2. Paste the link in the chat and ask Rover to create a position from it.
3. Add any details that aren't on the page, such as your exact location name, Brand, hiring manager, or recruiter.

**Example prompt:**

> Create a new position using the job posting at \[URL\]. Use \[location name\] as the location and \[Brand name\] as the Brand. Save it as a draft.

**Filled-in example:**

> Create a new position using the job posting at https://careers.example.com/executive-chef. Use Naples Beachfront Resort as the location and Coastal Hospitality Group as the Brand. Assign Jane Smith as the hiring manager and save it as a draft.

For best results, **add more context in the chat**:  A URL gives Rover a strong starting point, but it doesn't know everything about your organization. Public job postings often leave out details Leadline needs, like your exact location name, Brand, pay range, or hiring team. The more context you include in your prompt alongside the URL, the more accurate Rover's preview will be.

**Tip:** Review the preview carefully before approving. Check that the title, location, pay range, and job description match what you want in Leadline, not just what was on the original posting.

### Common variations

**Copy an existing position**

> Create a new position based on our \[existing position\] at \[location\], but change the location to \[new location\] and the pay to \[pay range\].

> Create a new position based on our Banquet Captain position at Naples Beachfront Resort, but change the location to Marco Island Resort and the pay to $19 – $23 per hour.

**Create the same position at multiple locations**

> Create a \[position title\] position at each of these locations: \[location 1\], \[location 2\], \[location 3\]. Use the same details for all of them.

> Create a Paraprofessional position at each of these locations: Lincoln Elementary, Washington Elementary, and Jefferson Middle School. Use the same details for all of them.

### Reviewing before Rover creates the position

Rover will always show you a preview of the position before creating it, so you can review it, request changes, or approve it.

**What Rover may ask you**

If your prompt is missing required details, Rover will ask for them before building the preview. Common follow-up questions include:

- Which Brand or location to use
- Whether to save the position as a draft or publish it

**Review the preview carefully**, especially the location, pay range, and status. It's much easier to adjust a preview than to fix a position after it's been created or published.

 Common pitfalls

| Instead of this | Try this | Why |
| --- | --- | --- |
| "Create a server position at the Florida office." | "Create a part-time Server position at our Naples Beachfront Resort location." | Vague location names can match more than one location. |
| Leaving out the pay range | "Pay: $18 – $22 per hour" | Positions without pay may be incomplete for job boards that require pay transparency. |

### Quick checklist

Before you send a Create Position prompt, ask yourself:

- Did I include the position title, exact location name, Workflow and Brand (if my account uses multiple Brands or Workflows)?
- Did I include the pay range and pay frequency?
- Did I give Rover key responsibilities, or a job description to use?
- If my team has writing rules or an example position, did I upload it in the chat?
