# We're Excited to Have you Join Our Beta Program

## This document covers what to expect, how the beta program works and some FAQs

Welcome to the beta!

Rover is Leadline's AI agent: you tell him what you need in plain language, and he does the work inside Leadline for you. Thanks for joining the beta. Rover is early, and your feedback will directly shape what he learns and what he can do next.

This guide explains how Rover works, what he can and can't do today, how to get the best results, and how your feedback helps train him.

### LLMs, agents and tools in plain English

**The LLM thinks, the tools act, and the agent combines the two to get real work done.**

- **LLM (large language model):** a very well-read brain. It has learned from a huge amount of text, so it can understand questions, write and reason. On its own, it can only think and talk.
- **Tools:** the hands that brain can use, such as a calculator, a web search, a calendar, an email inbox or a company's database. Each tool does one specific job in the real world.
- **Agent:** what you get when you give the brain those hands and a goal. Instead of just answering a question, an agent figures out the steps, picks the right tools, uses them one after another, checks the results and keeps going until the job is done.

For example, if you ask an agent to "schedule a meeting with Sarah next week," the LLM understands the request, the calendar tool checks everyone's availability, the email tool sends the invite, and the agent coordinates all of it.

### How Rover works

We're building a set of tools made specifically for Leadline. Rover is the agent that uses them. When you ask Rover to do something, the LLM reads your request, looks at the Leadline tools available, and decides which ones to use and in what order.

Examples of Leadline-specific tools:

- **Create position:** adds a new position to your Leadline account
- **Update position:** changes details on an existing position
- **Find candidate:** searches your candidates by name or details
- **List brands:** shows the brands set up in your account

Because our tools are built to work with any LLM, Rover isn't tied to one AI model. You can choose which model Rover uses during a session, and as better models are released, Rover gets smarter without us rebuilding the tools.

You can use Rover in two ways: in Leadline’s own chat, or by connecting Rover’s Leadline tools to another AI assistant you already use (such as ChatGPT or Claude) through an MCP server. A few things, like approvals and credits, work differently depending on which you use.

**Note**: MCP server support is coming within the coming weeks. We will notify you when the MCP server becomes available

### Where Rover is today

Right now, Rover often completes the first step of a task and considers the job done. This is the main gap we're working to close during the beta.

Say you ask: *"Create me an Account Manager position in Naples, FL."* Rover reads the available tools, creates the position in Leadline, writes a job description and requirements, and tells you it's done.

But a position needs more than that before it can be published:

- An application form
- Assigned landing pages
- A brand
- A workflow assignment
- A list of channel tracking links to post the position to

These are required configurations. Without them, the position isn't eligible to publish. Rover has what he needs to know these pieces are missing, but today he doesn't always point that out or ask you about them. That's where you come in.

### How we're training Rover

Behind the scenes, we're teaching Rover to ask the right follow-up questions, so a full task gets done in as few prompts as possible.

Back to the Account Manager example. After creating the position, Rover should *not* just say "Done." He should say something like: "Your position is created, but it's missing an application form, landing pages, a brand and a workflow, so it can't be published yet. Which brand should I use?" and then walk you through the rest.

To get there, we:

1. Find a task where Rover stops short or gets something wrong
2. Give him a sequence for spotting the missing pieces and asking about them
3. Test it, review the results and refine it
4. Repeat until Rover handles that task reliably, start to finish

This cycle runs over and over, task by task, so Rover's answers keep getting more complete and accurate.

### Where you come in

Your feedback is how Rover learns. Every comment you leave tells us where he asked the right question, missed something, or could have used information he already had.

We use your feedback to give Rover more context behind the scenes, so he can:

- Ask the right follow-up questions when information is missing
- Use what's already in your account (like your brands or workflows) to fill details in quickly and accurately

The goal is a seamless conversation where Rover completes real workflows for you, such as:

- Creating and configuring positions
- Building custom reports
- Adding candidates to your CRM
- Searching and filtering for specific data
- Sending emails

### Help us decide what to build next

An agent is only as capable as the tools it can use. Mature agents draw on large libraries of tools. Rover's library is still small, because each Leadline tool takes time to build, test and secure.

Rather than guess which tools you'll use, we want you to tell us. When you ask Rover for something he can't do yet, that request is valuable: it shows us what to build first. The more you share what you expect Rover to handle, the faster we can build the tools that matter most to you.

### What Rover can do today

Stick to basic, tested tasks for the best results. Everything else is on the roadmap and will arrive as tools are built.

For tested prompts that have worked well, see the **Rover Beta Use Cases** doc (link coming soon).

### Tips for getting better results

The more specific you are, the less Rover has to guess.

- **Include the details you know.** "Create a full-time Account Manager position in Naples, FL under our Main brand, using the Standard Hiring workflow" beats "Create an Account Manager job."
- **One task at a time.** Finish one request before starting the next, especially while Rover is in beta.
- **Ask what's missing.** If Rover says he's done, try: "Is anything else needed before this position can be published?"
- **Review before you approve.** In Leadline's chat, Rover shows you his proposed changes first. Read them carefully and correct anything that's off.
- **Rephrase if he's stuck.** If Rover misunderstands, say it a different way rather than repeating the same prompt.
- **Try different models.** You can switch which AI model Rover uses in a session. Some handle certain tasks better than others. Keep in mind that more capable models use more credits per request.

### How to give great feedback

Use the thumbs up and thumbs down icons on any Rover response, and add a comment whenever you can. A comment is far more useful to us than a thumb alone.

A helpful comment covers:

- **What you asked for:** the result you expected
- **What Rover did:** what actually happened, including any error message
- **What was missing or wrong:** the question he should have asked, or the detail he got wrong
- **What you'd want next time:** how you'd like him to handle it

Example: "I asked Rover to create a Sales Rep position. He created it but didn't mention it had no workflow, so I couldn't publish it. He should have asked which workflow to use."

Thumbs up matters too. It tells us which behaviors to keep.

### Things to keep in mind

- **Rover's toolset is limited.** Rover’s toolset is still growing. Stick to the tasks in the table above and the Use Cases doc for the best results. The Rover Beta Use Cases doc lists tested prompts with good results.
- **Rover can make mistakes.** AI can misread a request or fill in a detail incorrectly. In Leadline's chat, always review his proposed changes before approving.
- **Expect changes.** Rover's behavior will improve throughout the beta, so a task that didn't work last week may work now.
- **Don't share sensitive personal data you don't need to.** Only include the information required to complete the task.

### Frequently asked questions

##### Does Rover follow user permissions?

Yes. Rover always checks your permissions before taking any action, and he can only do what your role in Leadline allows. This was one of the first requirements we built.

##### Does Rover make changes automatically?

In Leadline’s chat, no. Rover proposes each change and waits for you to confirm it, and the person who confirms is recorded as having taken the action. If you use Rover’s tools through MCP in another AI assistant, confirmation follows that assistant’s own settings, so you may not see the same approval step you see in Leadline.

##### What if I get an error or Rover can't complete my request?

Click the thumbs down icon on the response and add a comment describing what you asked for and what happened. Include the error message if there is one. This is one of the most useful kinds of feedback you can give.

##### Rover said a task was done, but something is missing. Is that a bug?

Not necessarily. It's the main gap we're training Rover on right now. Ask him what else is needed, then leave feedback so we can teach him to flag it on his own.

##### When you say you're "training" Rover, what does that mean?

We give Rover better instructions, sequences and context about how Leadline works so he asks the right questions and completes tasks fully.

##### Which AI model does Rover use?

Rover works with multiple AI models, and you can choose which one to use during a session. Our Leadline tools work the same no matter which model you pick.

##### Why can't Rover do something I asked?

Most likely, the tool for that task doesn't exist yet. Let us know through feedback. Requests like yours decide which tools we build next.

##### Can I undo something Rover did?

Rover's changes are regular changes in Leadline, so you can edit or reverse them the same way you would if you'd made them yourself. Reviewing before you approve is the best safeguard.

##### Does Rover cost extra?

Rover is free for existing Leadline clients during the beta. Some AI models can be expensive, and we're covering those costs ourselves because seeing how you use Rover helps us learn what to build first. We'll share pricing details well before anything changes as more credit packages become available. Credits are measured over a rolling 30 days, so older usage drops off as it ages out.

##### What are credits?

Credits are how Rover usage is measured, and they're what you'd typically pay for to use Rover. Each credit covers a share of the work Rover does for you, including:

- **In Leadline’s chat:** credits cover the AI model’s usage (the text it reads and writes while handling your request).
- “**Through MCP (planned):** credits will also be charged for each tool call Rover makes, such as creating a position or finding a candidate.”

Beta members get **1,000 free credits**, measured over a rolling 30 days rather than a calendar month. More capable AI models cost more per request, so they use up the same 1,000 credits faster. Once the limit is reached, Rover pauses for your organization until older usage ages out. Additional credit packages will be available for purchase in the future.

##### Does credit consumption change depending on which provider I am using?

Yes. All models charge differently for token consumption. Some providers are slightly more pricier model burns the same 1,000 faster. The cap still stops the company when it's used up.

##### Can my whole team use Rover?

Any user on an enrolled account can use Rover, within the permissions of their own role.
