What are Position Reports and How do I Create Them?

Position Reports provide comprehensive, position-specific insights by presenting candidate information alongside their responses to each version of the application form.

Position reports enable you to create csv files of information regarding a position you are viewing. To create a position report for a specific position:

  1. Navigate to a position
  2. Navigate to the Submissions Tab within the Position
  3. Click the 'Export Report'
  4. Pick which version of the application form to export

  5. Select what data to export from the tree menu
  6. Click 'Export'

The rest of this article will explain more information about each option within the available checkboxes within the Export Position Report Modal.

 

Position Summary Stats

Position summary stats are comprised of three unique stats/reports about a position:

  1. Position Information - This is a basic overall glance at the position. When exported, the CSV will display
    1. The Position ID (or JobID if coming from an integration)
    2. Position Name
    3. Location
    4. Total Submissions (This is the total amount of submissions across all versions)
    5. Submissions for this version (This is the amount of submissions that were created by candidates who responded to this version of the application form)
    6. Published On Date
    7. Assigned Workflow
    8. Collaborators
  1. Submission Snapshot  - This is a basic overview of where each submission currently resides within the positions assigned workflow
  2. Candidate Response Summary - This is a master list displaying all candidates
    1. First Name
    2. Last Name
    3. Email Address
    4. Phone Number
    5. Hiring Stage (current hiring stage the submission resides in)
    6. Source
    7. Match Score
    8. Responses to application form questions

Tip for Company Administrators: The Candidate Response Summary report uniquely consolidates individual candidate names and their responses on a single sheet, enabling straightforward review of candidate inputs. Please ensure user permissions are managed appropriately so that only authorized personnel within your organization can access this report. Directly after the Position Summary Stats section, you will see the 'Candidate Application Form Responses' area. Here, you can select specific questions from your application form to export data for, or choose 'All Candidate Responses' to include every question’s data in your export.

Note: Only question titles appear in the checkbox list. Be sure to confirm you are selecting the correct question(s) as you export responses. Both the question header and text will be included in the final export.

Note: When exporting individual questions, each selected question will generate its own separate CSV file.

When exporting data for specific questions from an application form version, candidate identifiers are omitted, and the export provides an aggregated breakdown of responses compared to the full dataset. For example, if a multiple-choice question offers four answer options, the export will detail the number of respondents who selected each option (A, B, C, etc.), enabling you to analyze response trends without exposing individual candidate identities.

Depending on the type of question will determine the CSV breakdown. The breakdown is as follows:

  1. Range (minimum/preferred selections) - CSV will display which responses were selected from the available list
  2. Single-choice selection - CSV will display which responses were selected from the available list
  3. Multiple-choice selection - CSV will display which responses were selected from the available list
  4. Free text reply - CSV will only be able to determine how many candidates provided a response and how many did not
  5. Photo or file upload -  CSV will only be able to determine how many candidates provided a Photo/File and how many did not
  6. Video upload- CSV will only be able to determine how many candidates provided a video response and how many did not
  7. Date selection - CSV will only be able to determine how many candidates provided a response and how many did not
